Business Visa

Covering Letter : Covering-letter on company’s letterhead stating his name, designation,passport number,length of applicant's service, purpose, duration of visit and expenses (if being covered by your employer) duly signed by authorized signatory. Authorized signatory's name and designation should be mentioned along with company seal.Download Form . The letter should be addressed to – Embassy of Switzerland, New Delhi.

 

5. Invitation Letter : A copy of Invitation letter from the host company on its letterhead has to be submitted along with the application.

 

6. Airline Reservation : Ticket Itinerary

 

7. Proof of Accommodation: Hotel confirmation for the entire period of stay in Schengen area.

 

Please Note: Hotel should match the ticket dates and maximum stay should be Switzerland

 

8. Travel Insurance: Original Medical Insurance for the stay duration(Minimum for 15 Days) amounting to 30,000 Euros.

a) ITR for last 3 years .

New Procedure for Schengen Visa Applications:

Indian citizens travelling to Schengen countries for short-term (max 90 days in 180 days) will have to visit VFS visa application centre personally to provide biometric data (fingerprints and digital photograph). For subsequent applications within next 5 years the biometric data will be copied from the previous visa application included in the VIS.

 

 

There are certain exemptions as follows:

   • Children under 12

   • Persons for whom the collection of fingerprints is physically impossible

   • Sovereigns and other senior members of a royal family, Heads of State and members of the national Governments with their official delegations and spouses) if they travel for official purposes.

    a) Arrange appointment for biometrics at VFS centres as per applicants’ convenience.

    b) Offer expert guidance on the documentation for the relevant visa application.

4. Covering Letter :

a) Covering letter from applicant on company’s letter head from the company who is sponsoring the trip (signed by the Managing Director / Regional Director) stating the reason for the incentive tour, proof of reaching goal, tour itinerary, guarantee for covering all expenses and the return back to India before expiry of visa.

b)Covering letter from applicant on business letter head then the letter should be signed by the superiors stating that the applicant is his representative being deputed for the tour. The letter should be addressed to – Embassy of Switzerland, New Delhi.

 

5. Presentation

a) A representative of the Corporate/Company who is awarding the Incentive should make a presentation in this office (with prior appointment by email) with a representative of the Travel Company. At the time of the presentation, the Corporate/Company should furnish a letter stating the reason of the incentive, targets achieved and a complete list of the applicants. The list will be considered as full and final, no more additions in the list will be allowed later on.

b)The travel representative should also furnish a detailed itinerary of the entire trip.

c)List of all applicants mentioning their full names, date of birth and passport details.

 

6. Financials (all documents have to be Originals, in format A4)

a) Company and Personal ITR for last 2 years

b) Company and personal Bank Statement for last three months with stamp/signature of authorized signatory of the bank.

c) Salary slips for last three months

d) Credit Card copy/Foreign Exchange endorsement/Traveler’s Cheque

Please Note :

a) Bank statement to be provided in A-4 size format and if it’s a nationalized bank then no originals (Passbook) to be accepted and applicant has to submit a Xerox with original bank statement & stamp.

b) For a Black & white stamp on statement, please ensure the signature are done by authorized signatory of the bank.

 

7. Proof of Occupation

Self Employed

a) Company Registration Certificate / Certificate of Incorporation / Proof of Proprietorship / Partnership Deed

b) Brief Company Profile

c) Articles of Memorandum (Incase the applicant is MD/Director)

Employed

a) No Objection Certificate from employer

b) Qualification Certificates

Student

a) Leave Sanction Letter, School ID Card and NOC from school mentioning the dates of trip

If you are under 18, you must also submit

a) If you are travelling alone - An authorisation letter signed by both parents with their passports or a notarised affidavit signed by both parents is required

Student, staying in Switzerland up to 90 days

 

This is applicable to students studying in Switzerland. This visa is given for a travel period of less than 90 days.

 

1.Valid Original passport :  Issued within the last 10 years and with at least 3 months validity after the scheduled return, with at least two blank pages. Handwritten passports and passports with observations regarding the front page (bio data) cannot be accepted. Attach old passports (if any)

 

2. Photographs :  02 Photos with White background, not older than 6 months (size 35 – 40 mm in width, not copied or scanned picture. Face coverage should be 70 -80%.

 

3. Visa application form : Download Form One visa application form duly filled and signed by the applicant.

 

Following forms also need to be duly filled, signed and submitted along with the application

4. Personal covering letter :  Signed by the student and mentioning : · the reason for pursuing studies in Switzerland. · future plans: professional development intended by the student after having finished his/her studies in Switzerland. · explanation on how the student is going to benefit from his/her studies in the future and the confirmation that the student will leave Switzerland after the completion of the studies.

 

5.  Acceptance / confirmation / registration letter from the school, university, etc… : Proof that the Swiss school/university, etc. entrance fee has been paid (with relevant bank statement), if applicable.

 

6. Proof of academy degree : English language certificates such as TOEFL or IELTS is mandatory. German, French or Italian language certificates if available.

 Minimum coverage of 30,000 Euro / 50,000 USD / 50,000 CHF per person.

 

 Coverage of all expenses which might arise in connection with repatriation for medical reasons, urgent medical attention and/or emergency hospital treatment.

 

 The insurance has to cover the entire stay in the Schengen territory.

 

Applicants who wish to apply for a six months or one year multiple entry visa are not obliged to provide a 180 (365) day coverage. It is sufficient to submit an insurance policy covering the first journey.

 

9. Flight reservation :  With name of traveler.

 

10. Proof of financial status :                                                        

 

The documents of the applicant or the sponsoring person (parents, etc…) if no fellowship is granted, have to be originals, in format A4, with stamp and signature of Bank.

 

 If employed :

 

· Last 3 months salary slips & last 3 months salary bank account statements.

 

 · Last 3 months personal bank account statements.

 

· Personal ITR (only ITR-V, Indian Income Tax Return Verification Form or Acknowledgement is accepted)

 

 If Self-Employed and/or company owner :

 

· Business registration certificate / Partnership Deed / Proof of proprietorship, or other proof of ownership.

 

 · Last 3 months personal & business bank.

 

· Company’s & personal ITR (only ITR-V, Indian Income Tax Return Verification Form or Acknowledgement is accepted) for the last 2 assessment years.

 

 If student or unemployed :

 

· Parents or legal guardians must provide their personal bank account statements for the last 3 months.

 

· Personal ITR (only ITR-V, Indian Income Tax Return Verification Form or Acknowledgement is accepted) for the last 2 years assessments years along with a confirmation letter of financial support and a copy of their passport.

 

11. Photocopies of Passport: Clear photocopies of valid UK, USA, or CAN visas (if any).  Photocopies of the 1st page (bio data) and last page of the passport.

 

12. Reasons of refusal: If you have been refused a Visa by an Embassy or High Commission in the last 2 years, please provide the Refusal Notice or a written explanation about the reasons of refusal.

 

 

Time Taken: Minimum 15 Working days.

 

If you are going for an internship and get paid a stipendium / fellowship amount the decision is taken by the competent cantonal migration authority in Switzerland and takes 8 - 12 weeks.

If you are under 18, you must also submit :

 

a) If you are travelling alone - NOC Letter from both the parents on 100 Rs. stamp paper with notary is required along with both parents passport copies.

 

b) If one of parents is accompanying the minor then an Original notarized NOC by the other parent along with the copies of parents passports or ID is required. (NOC should be on Rs.100 stamp paper)

 

c) If the parent you are travelling with has single custody – A copy of the certificate of single custody along with divorce papers.

Invitation Letter

a) An invitation letter with full details of the invitee; full name, address, Email-ID and telephone number. The invitation letter has to be in original or a clear copy, dated and signed, mentioning names of all the invitees, the duration of stay, the relationship and the purpose of the invitation, along with a copy of the passport or identity card, OCI and residential permit.

Proof of Sufficient

a) Guarantee of expenses(for example, latest 3 months bank statement and salary slips)

b) A Declaration of guarantee form may be given if the financial situation is not sufficient.

Identity Proof

a) Copy of Swiss passport or residence permit.

a) No Objection Certificate from employer in original. Travel dates , name, designation and No objection statement for the trip should mention. letter should be signed by HR/ authorized signatory with his name and designation.

Student

a) Leave Sanction Letter, School ID Card and NOC from school mentioning the dates of trip

If you are under 18, you must also submit

a) If you are travelling alone - An authorisation letter signed by both parents with their passports or a notarised affidavit signed by both parents is required. b) If one of parents is accompanying the minor then an Original notarized NOC by the other parent along with the copies of parents passports or ID is required. (NOC should be on Rs.100 stamp paper)

 

c) If the parent you are travelling with has single custody – A copy of the certificate of single custody along with divorce papers.

 

10. Note : Visas for UK and U.S.A to be obtained first in case the applicant visits any of these countries before Switzerland/Schengen Countries.

 

 

New Procedure for Schengen Visa Applications:

Indian citizens travelling to Schengen countries for short-term (max 90 days in 180 days) will have to visit VFS visa application centre personally to provide biometric data (fingerprints and digital photograph). For subsequent applications within next 5 years the biometric data will be copied from the previous visa application included in the VIS.

 

 

There are certain exemptions as follows:

   • Children under 12

   • Persons for whom the collection of fingerprints is physically impossible

1. Original Passport : Issued within the last 10 years and with at least 3 months validity after the scheduled return, with at least two blank pages. Handwritten passports and passports with observations regarding the front page (bio data) cannot be accepted. Attach old passports (if any)

 

 2. Photographs: 04 photos with white background, not older than 6 months (size 35 – 40 mm in width, not copied or scanned picture. 70 to 80% face coverage.

 

3. Visa application form :  03 sets of visa application form duly filled and signed bt the applicant Download Form

 

4. Introduction letter from the employer :  02 sets of (1 original + 1 copy) covering letter on a business letterhead from the employer / company mentioning your position, duration of your service, the dates and purpose of the trip and if your expenses are being covered by the employer.  Letter should be addressed to ‘’Embassy of Switzerland, New Delhi’’

 

5. Invitation letter from the business partner in Switzerland : 2 sets of x (1 original + 1 copy) o With full details of the inviter: full name, address, Email-ID and telephone number.  Mentioning the invitee details, the dates and purpose of the trip. Letter should be addressed to ‘’Embassy of Switzerland, Delhi’’

Minimum coverage of 30,000 Euro / 50,000 USD / 50,000 CHF per person. Coverage of all expenses which might arise in connection with repatriation for medical reasons, urgent medical attention and/or emergency hospital treatment. The insurance has to cover the entire stay in the Schengen territory. Applicants who wish to apply for a six months or one year multiple entry visa are not obliged to provide a 180 (365) days coverage. It is sufficient to submit an insurance policy covering the first journey.

· Last 3 months personal & business bank account statements.

9. Reason of refusal: If you have been refused a visa by an Embassy or High Commission in the last 2 years, please provide the Refusal Notice or a written explanation about the reasons of refusal.

 

10. Visa Application has to be submitted personally at the Visa Section, Embassy of Switzerland, Chandragupta Marg, Chanakyapuri, New Delhi - 110 021. To schedule an appointment with the Embassy.
