Business Visa

1.Passport: Original Passport with validity of minimum three months and two blank pages for visa stamp. 
a) Copies of the first/last/observation/correction pages
Please note : 
a) Passports issued beyond 10 years will not be accepted by the Embassy 
b) Attach all your old passports (if any)
c) Indian passports with any “observation” will not be accepted.

  1. Photo Specification: Two recent passport size photographs with matt or semi matt finish, 60%-80% face coverage, white background and without border (Size: 35mm x 45mm) 

  2. Please note: Photograph should not be more than 3 months old,scanned/stapled and should not be used in any of the previous visas.

  3. Covering letter : Original typed letter from employer on company’s letter head stating his name, designation, passport number, purpose, expenses clause and duration of visit. The letter should be addressed to The Visa Officer, Consulate General of the Republic of Poland, Mumbai. Letter should be duly signed with signatory's name, designation and company seal.

  4. Invitation Letter: Invitation Letter from Poland host / inviting Company on its letter head stating the purpose of travel and duration of stay and should be duly signed by authorized signatory along with the name, contact details, email ID and designation. (Please note letter should be faxed or courier directly to the Embassy). The letter should be addressed to The Visa Officer, Consulate General of the Republic of Poland, Mumbai.

  8. Proof of Occupation:
    a) Company Registration Certificate / Certificate of Incorporation (for self employed/director)
    b) Proof of Proprietorship / Partnership (In case applicant is Proprietor / Partner in a firm)
    c) Appointment letter (If Employed )

  9. Proof of Accommodation : Hotel booking for the entire period of stay in Schengen area 

  10. Please Note: Hotel should match the ticket dates and maximum stay should be in Poland

  11. Airline Reservation : Confirmed return Air ticket (internal flight/cruise/car bookings/train ticket if travelling to other Schengen countries)

  12. Medical: Medical Insurance for the stay duration amounting to 30,000 Euros.  (Kindly refer to  to find out about the travel medical insurances accepted);

New Procedure for Schengen Visa Applications:

Indian citizens travelling to Schengen countries for short-term (max 90 days in 180 days) will have to visit VFS visa application centre personally to provide biometric data (fingerprints and digital photograph). For subsequent applications within next 5 years the biometric data will be copied from the previous visa application included in the VIS.


There are certain exemptions as follows:
   • Children under 12
   • Persons for whom the collection of fingerprints is physically impossible
   • Sovereigns and other senior members of a royal family, Heads of State and members of the national Governments with their official delegations and spouses) if they travel for official purposes.

    b) Offer expert guidance on the documentation for the relevant visa application.

7  Proof of Accommodation : Hotel confirmation and Tour Itinerary for the entire period of stay in Schengen area.
Please Note: Hotel should match the ticket dates and maximum stay should be in Poland

8. Airline Reservation : Confirmed return Air ticket (internal flight/cruise/car bookings/train ticket if travelling to other Schengen countries)

9. Medical: Medical Insurance for the stay duration amounting to 30,000 Euros.  (Kindly refer  to find out about the travel medical insurances accepted);

      For Minors: a) If you are travelling alone - An original letter of consent signed by both parents and a copy of their passport (first & last page). Letter should be on Rs.100 stamp paper with Notary.

b) If you are travelling with only one of your parents - An original letter of consent from the other parent and a copy of his/her passport (first & last page). And financial documents of parents. Letter should be on Rs.100 stamp paper with Notary.
c) If the parent you are travelling with has single custody – A copy of the certificate of single custody along with divorce papers.

Employment Visa

2. Visa Application Form: Visa application form has to be filled by the applicant and signed in column no 37 and last page. 

3. Photo Specification: 02 recent passport size photographs with matt or semi matt finish, 60%-80% face coverage, white background and without border (Size: 35mm x 45mm)

4. Covering Letter : Original covering-letter from employer on business letter head stating his name, designation, passport number, purpose and duration of visit. The letter should be addressed to – Consulate General of the Republic of Poland, Mumbai. Letter should be signed with authorised signatory's name, designation and company seal.

5. Work Permit: Original work permit along with its copy.

Please Note: Work Permit shall be obtained from the Provincial Governor's Office in Poland.

6. Appointment Letter (fax copy) - directly from Poland to the Consulate General of the Republic of Poland, Mumbai

7. Certificates: 

a) CV and documents showing previous employment. 

b) Professional and academic qualifications.

a) Original invitation "Zaproszenie" from the host in Poland (confirmed by the Polish authority - Urzad Wojewódzki) 
b) Additional documents enabling an assessment of the applicant's intention to leave the territory of the Member States before the expiry of the visa (for example documents confirming the employment in India, financial situation and family relations).

6.       Invitee’s passport, resident permit /visa copy: Invitee's valid passport copy is required along with valid residence permit/ visa copy. His address proof and contact details also required.
