Business Visa

 

1.Passport:  Original Passport with validity of minimum three months (from the date of return) and minimum two blank pages for visa stamp.  Attach old passports (if any). 

a) If applying from Mumbai: One set of coloured copy of the entire passport including blank pages. If having old passport then the coloured copies of first, last page and UK, USA, Australia, Canada, previous schengen visa copies if any.                                        

2.  Danish Visa Application Form :  Applicant should fill in visa application and pay the application fee online using https://applyvisa.um.dk/. After you have applied and paid the visa fee online, you must print and sign the cover letter from Apply Visa and hand in supporting documents and supply biometrics at the Visa Application Centre.

3. Photos: Two recent passport size photographs with matt or semi matt finish, 60%-80% face coverage, white background and without border (Size: 35mm x 45mm) 

4.  Covering Letter from applicant on company’s letter head stating his name, designation, passport number ,purpose, duration of the visit, name and address of the company he / she intends to visit duly signed by authorized signatory with company stamp and addressed to– The Visa Officer, Royal Danish Embassy , New Delhi

5.  Invitation Letter from Denmark host / inviting Company on its letter head stating the name of the applicant, the purpose of travel, dates and duration of stay, nature of costs being covered (boarding & lodging). It should be duly signed with the signatory’s name and designation.

6.sponsorship letter: In case of visit being sponsored by the company, sponsorship letter with full details and bank statement for last six months of the company is required

In case visit being sponsored by guarantor / reference in Denmark a sponsorship letter (not older than six months) issued by the reference in Denmark. The letter should contain applicant's name, address, relationship with guarantor / reference (proof to be attached), duration of stay and nature of costs being sponsored.

7. Ticket :  Ticket Itinerary

8.Hotel Bookings:  Hotel confirmation / Guarantee of host company

9.Medical:  Original Travel Medical Insurance for the stay duration amounting to 30,000 Euros. Insurance to be done by the Authorized Insurance Companies 

10. Financials 

a) Personal ITR for last 3 years 

b) Bank Statement for last six months with Bank Seal and Sign in original. 

c) Three months salary slip 

d) In case if the applicant is owner/ Proprietor of the company, Company's Bank Statement for last three months with seal and signature from the bank in original, 3 Years ITR, registration certificate, Partnership deed / Article of memo is required.

11. For First Time Traveler (Following documents apart from the above mentioned documents need to be submitted along with the application) 

a) In addition to Business Correspondence with the concerned Danish company, copy of relevant and Highest Educational Certificate is also required. (This requirement is also applicable for travelers who have not visited any Schengen countries in last five years) 

12.  If an applicant has not travelled  on the previous Schengen visa then he/she has to submit letter mentioning the reason for the same.

13. Important Note: All the Documents must be submitted in colour only.

14. It is Mandatory for all applicants to appear in person when submitting a Schengen visa application for Denmark , as well as applications for Greenland and the Faroe Island.

New Procedure for Schengen Visa Applications:

Indian citizens travelling to Schengen countries for short-term (max 90 days in 180 days) will have to visit VFS visa application centre personally to provide biometric data (fingerprints and digital photograph). For subsequent applications within next 5 years the biometric data will be copied from the previous visa application included in the VIS.


There are certain exemptions as follows:
   • Children under 12
   • Persons for whom the collection of fingerprints is physically impossible
   • Sovereigns and other senior members of a royal family, Heads of State and members of the national Governments with their official delegations and spouses) if they travel for official purposes.

4. Covering Letter : Covering Letter from the applicant on the company’s letter head stating applicant’s name, designation,passport number, purpose, duration of visit and salary explanation in Denmark in DK crown. The letter should be addressed to– The Visa Officer, Embassy of Denmark , New Delhi

5. Employer must furnish the following documents:
a) Work Contract signed by the Employer and sent to the applicant.
b) Employer's residence status
c) Employer's business registration
Applicant must furnish the following documents:

6. Educational Certificates : Original Educational Certificates and two Set colored copy.

7. Financials:
a) Personal Bank Statement for last three months
b) Salary slip for the last three months.

9. Proof of Occupation 

Student 

a) If the minor is traveling with only one parent, written consent certified by public notary of the other parent or guardian, except in cases of a parent having sole custody or guardianship of the minor. 

b) If the minor travels alone (without parents), written consent, certified by public notary, of both parents or guardians having custody or guardianship of the minor.

c) original Leave Sanction Letter from school including phone number and address of school 

d) Student ID card 

In case of Minor traveling alone 

a) A letter of consent (affidavit) from both parents with their signatures 

b) A photocopy of passports of both parents 

c) A photocopy of birth certificate 

If minor is traveling with one parent. All the above documents of the other parent is required. 

Self Employed 

a) Company Registration Certificate / Certificate of Incorporation 

b) Brief Company Profile 

c) Articles of Memorandum (Incase the applicant is MD/Director) 

d) Proof of Proprietorship / Partnership (In case applicant is Proprietor / Partner in a firm) 

e) Import / Export License (if applicable) 

Employed

5. Letter of Guarantee: A letter of guarantee from shipping company in Denmark with signature, designation of the signatory, address and contact no.
a) Valid seaman’s record book 
b) Original CDC (Continuous Discharge Certificate). 
c) Appointment Letter / Contract

6. Airline Reservation : Ticket Itinerary

7. Hotel reservation: Proof of accommodation in case of overnight stay.

8. Medical : Original Medical Insurance for the stay duration amounting to 30,000 Euros.The policy has to clearly specify the period of validity and has to cover the entire duration of the trip including the date of arrival & departure.

Red Carpet Visa

 

1)     Application form: Applicant should fill in visa application and pay the application fee online using https://applyvisa.um.dk/. After you have applied and paid the visa fee online, you must print and sign the cover letter from Apply Visa and hand in supporting documents and supply biometrics at the Visa Application Centre.

2)     Two recent Photos: (less than six months old) photograph in color with good resemblance. (35 X 45mm), White background, 70-80% face coverage.

3)      Original Passport: The Passport should be valid for at least three months (any other type of travel document should be valid for at least six months), beyond the intended duration of stay in the Schengen territory and with at least two blank page to affix the visa. Attach old passports (if any)

4)     Annex C – Red Carpet Cover Letter · Must be signed, dated and stamped by an authorized signatory as per the authorized signature lists. The letter should be addressed to : The Visa Officer, Royal Danish Embassy , New Delhi. It should contains aapplicant’s name, designation, passport details, travel duration.

5)      Invitation Letter: signed invitation letter from the Danish company containing Name of the invited applicant, Purpose of visit, Dates of the intended stay, Nature of costs being covered (boarding & lodging).

6)     Overseas travel medical insurance: valid for all Schengen-countries. The insurance has to cover the applicant for at least 30,000 Euros or equivalent, for all risks e.g. accident, illness, medical emergency evacuation etc. The policy has to clearly specify the period of validity and has to cover the entire duration of the trip including the date of arrival & departure. 7)      Educational Certificate: In case of first visit, copy of Highest Educational Certificate is also required.

8)     Passport Copies:  If applying from Mumbai: One set of Colored copy of the entire passport including blank pages. If having old passport colored copies of first and last page and UK, US, Australia, Canada and Previous Schengen Visa Copies if any.

Note:  Applications for business visa of employees of companies that are registered with the Embassy are being eligible for the Red Carpet facility can be submitted at the VFS Denmark Visa Application Centers

The Embassy requests you to hand in the missing/required documentation within 3 days from today. If the Embassy has not received the documentation by this deadline, the Embassy will make a decision on the case based on the present information.

4)     Photographs: Two recent (less than six months old) photograph in color with good resemblance. (3.5cm / 4.5cm). (35 X 45mm), White background,  70-80% face coverage.Photoshopped pictures are forbidden and application will become inadmissible if a photoshopped picture is handed in.

5)     A covering letter from the Indian organization/school: · Name, passport details and date of birth of the applicant. · An outline of the applicant’s itinerary, purpose of visit, how/why the trip is relevant to his/her current studies, and the period of intended stay in Denmark/Schengen. The letter should be addressed to : The Visa Officer, Royal Danish Embassy , New Delhi. 

6)     A signed invitation letter from the Danish organization/school containing; name of the invited applicant, passport details, purpose of visit, dates of the intended stay, nature of costs being covered by host (boarding & lodging). Preferably a VU3 form signed with NEM-ID which can be found on www.newtodenmark.dk

8)     Flight reservations of return or round ticket. If applicant is traveling to several Schengen states proof of intra-Schengen Flight reservation, Train Itinerary or Car rental.

9)     Proof of accommodation: Hotel bookings or accommodation guarantees covering the whole duration of the intended stay.

10) In case of minors (< 18 years) traveling: · If the minor is traveling with only one parent, written consent certified by public notary of the other parent or guardian, except in cases of a parent having sole custody or guardianship of the minor. · If the minor travels alone (without parents), written consent from both parents or guardians having custody of the minor. · A photocopy of both parents’ passports. If not, copies of the ID cards of the parents · A photocopy of Birth certificate Note: If minor traveling with one parent. All the above documents of the other parent required.

11) Evidence of source of Financial support such as: · Original bank statement showing movements in the last three months, duly stamped and signed by the bank.

And ITR for last 3 years.

· Incase applicant is employed pay slips for the last three months, employment contact, original employers statement on approval for holidays.

· In case applicant is the proprietor / owner of the company, company’s bank statement last three months, duly stamped and signed by the bank, proof of paid income tax for last 3 years, company memo, partnership deed, establishment license or proprietorship etc. are required.

In case the applicant’s costs are covered by another person, a letter from the sponsor as well as copy of the sponsor’s photo ID (e.g. passport, aadhaar card or driver’s license), is required.

3. Photos:  Two recent passport size photographs with matt or semi matt finish, 60%-80% face coverage, white background and without border (Size: 35mm x 45mm)

 

4.  Cover Letter: Covering Letter from applicant on business letter head mentioning name, designation, passport number, purpose and duration of visit in brief. The letter should be duly signed by authorized signatory and addressing to  – The Visa Officer, Royal Danish Embassy , New Delhi
